Cancellation & Refund Policy

1. General Principle

The Clubbe is a travel reseller and merchant of record: we purchase the services from identified third-party suppliers and resell them to you at a single, all-inclusive price. Refundability depends on two factors: (a) the applicable supplier's fare rules and (b) applicable law. Before you pay, we will state in writing whether a fare is refundable or non-refundable and which penalties apply. Nothing in this policy limits refunds required by law.

The Clubbe's commission, markup, and service fee are deemed earned and non-refundable upon delivery of the booking or confirmation to you; however, The Clubbe's earned portion never reduces or is deducted from any refund required by law. Any refund of the supplier component is subject to the supplier's change and cancellation conditions (airline, hotel, cruise line, or operator) and to applicable law. The specific conditions of your booking prevail over the general guidelines on this page.

2. Mandatory Air Refunds

Regardless of any "non-refundable" label, where U.S. law requires it — in particular the U.S. Department of Transportation automatic-refund rule (14 CFR Part 260 / 399.80(l)) — if an airline cancels or significantly changes a flight and you decline the offered alternative or a credit/voucher, the airfare, including taxes and fees, is refundable in the original form of payment. You are entitled to decline a voucher and receive cash.

These mandatory refunds are processed within the legal timelines (7 business days for credit-card payments; 20 calendar days for other payment methods) and are not subject to the general timelines in Section 4. The Clubbe will process and follow up on your claim and advocate for you with the airline; however, the refund obligation and discretion ultimately rest with the airline under its fare rules and applicable law.

3. How to Request a Cancellation or Change

  • Email us at reservations@theclubbe.com or contact us via WhatsApp with your quote or booking number.
  • Requests are processed in the order received; supplier deadlines run from when the supplier receives the request, so we recommend contacting us as soon as possible.
  • We will confirm in writing the applicable penalty (if any) and the refund amount before executing the cancellation.

4. Refund Timelines

This general timeline does not apply to mandatory air refunds, which are governed by Section 2 and processed within the legal timelines (7 business days for credit cards; 20 calendar days for other payment methods). For all other refunds, once approved by the supplier we process the return through the same payment method used (card or bank transfer). Crediting times depend on the supplier and your bank; the full process may take up to approximately 90 days depending on the service type and supplier involved. We will keep you informed of your refund status and you will receive a receipt with its reference number.

5. Non-Refundable Items

Always subject to Section 2 and to any refund required by law, which override any "non-refundable" label, the following items are non-refundable:

  • Fares marked as non-refundable by the supplier at the time of purchase.
  • Cancellation penalties charged by the supplier.
  • Client deposits forfeited due to the client's decision to cancel or not travel, under the supplier's rules.
  • The Clubbe's commission, markup, and service fee, which are included in the all-in price (not itemized), once the booking or confirmation has been delivered. The Clubbe's earned portion never reduces a refund required by law.
  • The Clubbe's service is considered fulfilled upon delivery of the booking or confirmation to you (booking code, supplier confirmation number, and the necessary information); that service is therefore non-refundable from that point onward.

6. Memberships

You may cancel your membership at any time from your profile. Cancellation takes effect at the end of the current billing period and no further charges are made. Already-billed periods are non-refundable, except for demonstrable billing errors.

7. Force Majeure

In force majeure events (natural disasters, health emergencies, border closures, strikes), we will pursue the available alternatives with the supplier — rescheduling, travel credit, or refund according to the supplier policy — and advocate for you. Any refund required by law (including Section 2 where an airline cancels or significantly changes a flight) remains fully in effect.
